Overview
Domitas provides an evidence-backed digital record and AI-powered digital twin for an individual home. This Privacy Policy applies to the Domitas iOS app, domitas.app, and related services (together, the “Services”). “Domitas,” “we,” “us,” and “our” refer to the Domitas service.
1. Information we collect
Account information
We collect your email address, an account identifier, authentication information, and your saved AI-processing choice. Password authentication is handled by our authentication provider; Domitas does not store your readable password.
Home information you provide
This may include a home address and basic property details; rooms and areas; systems, appliances, equipment, finishes, and materials; maintenance history, tasks, condition information, and other notes about the home.
Photos, documents, and other content
We store photos and documents you choose to add, along with filenames, categories, links to rooms or assets, processing status, extracted text, and information you approve for the home record. This can include inspection reports, warranties, insurance documents, receipts, manuals, and service records.
Questions and usage needed to run the service
We process questions you ask Domitas, the relevant home context needed to answer them, daily AI-request counts, analysis status, and task or onboarding progress. We currently do not use third-party advertising trackers or behavioral analytics in the iOS app.
Website and support information
If you join early access or contact support, we collect the contact information and message you submit so we can manage your request and respond.
2. How we use information
We use information to create and synchronize your home record; connect evidence to rooms, systems, and assets; analyze content you select; answer questions about your home; calculate home intelligence and health; recommend useful tasks; enforce service limits; secure and troubleshoot the Services; respond to support requests; and comply with legal obligations.
Domitas does not sell personal information or share it for cross-context behavioral advertising. Domitas may present relevant products, services, sponsored content, or affiliate recommendations. Any sponsored or affiliate relationship will be identified, and Domitas will not disclose your private home record to a provider unless you direct us to do so.
3. AI processing
Domitas asks for a separate, versioned choice before using third-party AI. If you allow AI processing, Domitas may send OpenAI the question and relevant home information needed to answer it, a photo you select for analysis, or text extracted from a document you select. Domitas does not automatically send every saved photo or document to OpenAI.
Text extraction and optical character recognition may occur on your device before document text is sent for analysis. For current PDF processing, embedded PDF pictures are not analyzed. Original private files remain in Domitas storage unless the specific workflow requires otherwise.
OpenAI states that API inputs and outputs are not used to train its models by default. Under OpenAI’s standard API controls, some content may be retained for abuse monitoring or to provide the requested processing. Background document analysis can require temporary provider-side application state. See OpenAI’s API data controls for its current practices.
You can turn AI processing off in Profile at any time. Turning it off prevents new AI questions and analyses. It does not delete information you previously chose to save; you can delete individual records or your account separately.
5. Retention and deletion
We keep account and home information while your account is active and as needed to provide the Services. Early-access and support submissions are kept while needed to manage those requests and the relationship with you.
You can delete individual photos and documents in the app. You can permanently delete your account from Profile. Account deletion removes your login, homes, rooms, systems, assets, tasks, stored photos, stored documents, and associated active database records. Some information may remain for a limited period in provider backups, security logs, or records we must retain by law, after which it is deleted or de-identified under the applicable retention cycle.
6. Your choices and privacy rights
- AI processing: allow or decline it when prompted and change the choice later in Profile.
- Photos and documents: choose what to add, what to analyze, and what extracted information to save.
- Correction and deletion: edit home information, delete individual records, or permanently delete the account in Profile.
- Access requests: contact us to request access to, correction of, or deletion of personal information when the in-app controls do not address the request.
Depending on where you live, you may have additional rights regarding access, correction, deletion, portability, or appeal. We will handle verified requests as required by applicable law. Domitas does not sell personal information or share it for cross-context behavioral advertising.
7. Security
Domitas uses safeguards designed to protect home information, including authenticated access, row-level database permissions, private object storage, encrypted connections, short-lived signed file links, and server-side AI credentials. No method of storage or transmission is perfectly secure, so we cannot guarantee absolute security.
8. Children
The Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided information, contact us so we can address it.
9. Changes to this policy
We may update this policy as Domitas changes. We will post the revised policy here and update the effective date. If a change materially affects how previously collected information is used, we will provide additional notice or request consent when required.
10. Contact us
For privacy questions or requests, use the Domitas Support form and choose “Correct or delete my data.” Please do not include passwords, API keys, or private document contents in the form.
